If you register to attend one of the Society’s events, we will hold any contact and dietary information you provide to run the event safely, and in line with the reasonable requirements of the event’s host where applicable. We will destroy this information around two weeks after the event. Where filming, recording or photography is carried out by or for the Society, we will take reasonable steps to ensure that you are aware that this is taking place so that you have the opportunity not to participate.
If you or your organisation applies to become a subscribing member – that is, pay us a subscription to become a member of The Ecclesiological Society – then we will hold electronically the information you supply on the application form. We use this data to communicate with you regarding membership matters, to understand our reach to different age groups and geographical regions, and to help with the administration of the Society. Membership information is backed up to a third party cloud-based data storage provider. We will supply your name and address to a printing company, so that they can send our publications by post. We do not match your personal data with that belonging to other organisations. We will not sell your personal data or give it to other organisations to use for their own purposes, unless we are ever required to do so by law. After you leave the Society, we will continue to maintain information about you for historical and statistical purposes. Some basic information on the Society’s membership register will be kept permanently unless you ask us to delete it. Other information will be destroyed within two years after you leave, so that we can complete our annual report, financial accounts and audit.
Payments to the Society
Details of any payments you make to us – for membership, events or publications of the Society – will appear on our bank statements, which are held to fulfil accounting requirements for registered charities.If you send us a Standing Order form, we will send this to the bank you nominate, and we will not retain a copy of the form.
