E-Newsletter

If you sign up for our e-newsletter, then we will collect and store your name and email address, and – if you choose to inform us – the relevant organisation to which you belong. We will use this information to email you news and information related to the Society, church history and church architecture.You can unsubscribe from the e-newsletter by clicking the link included at the bottom of each newsletter, or by emailing our Membership Secretary at membership@ecclsoc.org. We select newsletter content that we believe to be interesting and relevant, and in good faith. We do not receive payment for notifications in the newsletter such as events, conferences and other items (such as publications) for which there might be a charge.We use a third party supplier to provide emailing services. This is currently Mailchimp, a market leader in the field. Mailchimp states that its data processing is compliant with the General Data Protection Regulation (see here). Mailchimp’s privacy policy can be found here. We may use tools to help us improve the effectiveness of communications with you, including tracking whether the emails we send are opened and which links are clicked within a message. Access to these is limited to certain members of the Society’s Council. You consent to the data being held in these tools, which may be on servers outside the EU.Social

Media

If you visit any of the Society’s social media pages, the social network might add visit information to your profile on its network, based on your privacy settings. If you would like to prevent this type of data transfer, you should log out of your social network account before visiting the website or app, or change the privacy setting of the app if possible. You should read the privacy policy of your social network for more details, including details of your rights and how you can manage your privacy settings.

Events

If you register to attend one of the Society’s events, we will hold any contact and dietary information you provide to run the event safely, and in line with the reasonable requirements of the event’s host where applicable. We will destroy this information around two weeks after the event. Where filming, recording or photography is carried out by or for the Society, we will take reasonable steps to ensure that you are aware that this is taking place so that you have the opportunity not to participate.

Subscribing members

If you or your organisation applies to become a subscribing member – that is, pay us a subscription to become a member of The Ecclesiological Society – then we will hold electronically the information you supply on the application form. We use this data to communicate with you regarding membership matters, to understand our reach to different age groups and geographical regions, and to help with the administration of the Society. Membership information is backed up to a third party cloud-based data storage provider. We will supply your name and address to a printing company, so that they can send our publications by post. We do not match your personal data with that belonging to other organisations. We will not sell your personal data or give it to other organisations to use for their own purposes, unless we are ever required to do so by law. After you leave the Society, we will continue to maintain information about you for historical and statistical purposes. Some basic information on the Society’s membership register will be kept permanently unless you ask us to delete it. Other information will be destroyed within two years after you leave, so that we can complete our annual report, financial accounts and audit.

Payments to the Society

Details of any payments you make to us – for membership, events or publications of the Society – will appear on our bank statements, which are held to fulfil accounting requirements for registered charities.If you send us a Standing Order form, we will send this to the bank you nominate, and we will not retain a copy of the form.
